Usage Manual
This template is designed to help you manage appointments and contacts efficiently. Here's how to make the most of it:
Getting Started
- First, customize the databases to match your needs by adding or modifying properties
- Import your existing contacts into the Contacts database
- Begin adding appointments to the Appointments database
Using the Appointments Database
The Appointments database comes with three pre-configured views:
- Appointments to schedule: This view automatically shows all appointments without a set date. Use it to track appointments you still need to book
- Scheduled appointments: Once you set a date for an appointment, it will automatically appear in this view. It shows all your confirmed upcoming appointments
- All: Access a complete history of past and future appointments, regardless of scheduling status
Appointment Status Logic
- An appointment is considered "To Schedule" when it's created without a date
- As soon as you add a date, it automatically becomes a "Scheduled" appointment
- You can track the scheduling progress using status properties
Reminder Date Feature
- The reminder date indicates when you should make the call or contact to schedule the appointment
- Use this feature to:
- Remember when to call for scheduling (e.g., "Call on January 30th to schedule annual checkup")
- Track when specific providers open their scheduling windows
- Manage advance booking requirements for different types of appointments
Pro tip: Some healthcare providers only schedule 3-6 months in advance, so set your reminder date accordingly.
Managing Contacts
The Contacts database serves as your central address book:
- Add all relevant contact information for service providers
- Link contacts to appointments for easy reference
- Organize contacts by category or type of service
Best Practices
- Create appointments even before you have a confirmed date to keep track of what needs scheduling
- Set reminder dates based on provider scheduling policies
- Add notes about specific scheduling requirements or preferences
- Maintain up-to-date contact information
Customization Tips
- Add custom fields to track specific information relevant to your needs
- Create additional views to organize appointments by category or priority
- Use filters and sorts to find information quickly
- Add tags to categorize appointments and contacts
With consistent use, this template will help you stay organized and never miss an important appointment again.
